The Send Email workflow action enables you to send an outbound email to a contact when your workflow is triggered. Use this action when a form or survey is submitted to quickly follow up with a client, or send emails triggered by certain events to cut down on day-to-day manual actions.
To get started, click on the “+” icon to add a Workflow action, and select Send Email.
Action Name #
Rename the workflow action to enhance communication and collaboration among team members by using consistent and descriptive naming conventions that indicate the function or purpose of the action.
From Name #
In the From Name field, enter the sender’s name. You can also click on the tag icon to use custom values.
From Email #
In the From Email field, enter the sender’s email. You can also click on the tag icon to use custom values.
NOTE: If the ‘From Name’ and ‘From Email’ fields are empty, then the email will be sent using the default sender settings.
Additional Recipients #
You can CC or BCC additional recipients by clicking their respective icons. This opens a field for you to add their email or select a custom value to fill it for you; this email will not be reflected in the Email Stats.
Subject #
Type the subject of the email in this field. You can also click on the tag icon to use custom values.
Create Email #
Select how you want to build your email. You can write it directly in the builder, use the Smart Builder to create a new template in the Marketing builder, or use an already created template.
Message #
If you are not using an email template, you can type the body of the message in the message box. You have a variety of text editing options available to customize your email, including typography, alignment, bullet points, and adding images.
You can use custom values to input user or contact info, as well as add trigger links to your email using the corresponding dropdowns in the message box.
Add Attachment #
To include a file or image, click the add attachment button and select the file or image you’d like to add.
Test Emails #
Enter an email address in the Test Emails field and click on Send Test Email. Once you are satisfied with the demo email, you’ll be ready to send it out to your contacts.
Email Delivery Statistics #
Once your workflow is live and you’ve had customers run through it, you’ll be able to access the email delivery statistics. The Email Delivery Statistics provide metrics on sent emails, including the number and details of emails delivered, opened, clicked, replied, bounced, accepted, stored, and rejected by contacts. It also reveals the number of contacts that have complained or reported the email.
- Delivered: Shows the numbers and details of emails delivered to contacts under this workflow.
- Opened: Shows the numbers and details of contacts that opened the mail under this workflow.
- Clicked: Shows the number and details of contacts that clicked on the mail.
- Replied: Shows the numbers and details of contacts that replied to the mail within this workflow.
- Bounced: Shows the numbers and details of emails that bounced.
- Accepted: Shows the number of accepted emails.
- Stored: Shows the number of stored emails.
- Rejected: Shows the number of emails that were rejected by the contact.
- Complained: Shows the number of contacts who complained or reported the email.
Select the “View All Statistics” button to load the accepted, stored, rejected, and complained statistics. Additionally, you can access the “Stats View” by clicking the pie-chart icon, which gives you an overview of the stats from the last 30 days.
