How to Batch Schedule Email Campaigns

How to Batch Schedule Email Campaigns

The Batch Delivery (Drip Mode) feature in Email Marketing is a strategic tool that allows you to send email campaigns in timed batches rather than to your entire audience simultaneously. This method helps manage a website or funnel traffic, preventing potential strain on your server.

Before You Begin #

Ensure the following before diving into the batch email campaign scheduling process:

  • Create an email template for the campaign.
  • Verify the domain to send emails.

Creating a Batch Email Campaign #

Follow these steps to create a batch email campaign:

Create Campaign #

Navigate to Marketing > Emails > Campaigns. Click the “+ New” button to create a new campaign.

Select Email Template #

Choose the template for your marketing email campaign. Preview options are available for template verification.

Design Your Content #

Enter the email builder to design your content and add essential elements for your campaign. Whether you’re a seasoned professional or a novice, the Email Builder provides user-friendly tools for crafting visually appealing campaigns.

Send or Schedule #

After designing your email, click on “Send or Schedule.”

Sending Options

  • Add the start date of the campaign.
  • Specify the batch quantity.
  • Set the frequency by adding the repeat interval (days, hours, minutes, seconds).
  • Uncheck days when you don’t want to send the batch delivery email campaign.
  • Add specific start and end times.

Sender Information and Subject

  • Add the email address to which you want to send the campaign.
  • Add the Sender name for the recipients to see.
  • Add the email’s Subject line; this is required for sending. You can use AI to generate it for you.
  • Add a short preview text to be displayed on the first look at the email.

Select the contacts you want to send the email. If you are sending to a Smart List or Tag, you can select to limit it to only the selected contacts or include any new ones that come into the system before the Send date/time.

Enable click tracking to gain valuable insights into the effectiveness of your campaign. This feature provides a comprehensive overview of the links that were clicked, including the frequency of clicks and the contact details of individuals who engaged with the links within your email. Furthermore, you can enable UTM tracking to apply UTM parameters by default to your campaign.

Toggle on “Add Tags” in the Batch Schedule screen to automate tagging for segmented batches based on interactions, using triggers and tags to personalize campaigns and optimize audience engagement. You can also automatically resend emails to those who haven’t opened them, adjusting timing, tracking status, or cancelling as needed to improve engagement and efficiency.

Once you’re satisfied with the settings, click Review and Schedule for the campaign to start sending out.

By sending emails in timed batches, you can effectively manage a website or funnel traffic and reduce server strain. With this guide, you now have the steps to create, schedule, and optimize your batch email campaigns, ensuring they reach your audience at the most opportune times. By taking advantage of this feature, you can enhance the performance and efficiency of your email marketing efforts.

Important Notes #

  • Verify campaign details, execution date, time, and time zone before scheduling.
  • The system allows deletion or rescheduling of the email campaign. Rescheduling is permitted up to one hour before the scheduled send time.
